UTM recognized student clubs and groups who wish to book space at the RAWC are to complete the Service Now - UTM Student Group Room Booking Form. 

How to Submit Room Booking Requests

To gain access to submitting room booking requests, you must:

  1. Be a SOP-recognized group
  2. Read through the Room Booking Guidelines outlined below
  3. Abide by the instructions outlined above
  4. Have your listed Primary Contact or Administrative Officers on SOP submit a room booking request via the Service Now - UTM Student Group Room Booking Form via the link below
  5. Only the rooms listed in the Room Booking Form plus the MN Grand Hall and KN Rotunda are available for booking by Student Groups.
  6. Room booking requests must be must be submitted at least ten (10) business days (Monday to Friday) in advance of your planned event date.

IMPORTANT: Read before booking

Student Clubs/ Groups are required to meet the following criteria in order to request 'free' rental space:

  • Have current recognition by U of T Student Organization Portal. *New as of September 1, 2023*
  • Provide an explanation as to how the club/group enhances the student’s University experience.
  • Gives back to the DRAW.
  • No admission or program fee is charged to students to participate in the activity.
  • ALL participants of the event must be actively registered U of T students.
    • If you are looking to invite non-U of T students to your event/activity, you must book via DRAW External Rentals form. Please note that charges will apply.
  • Outside coaches/instructors must hold a current RAWC membership or purchase a day pass while in the facility.
  • For special events, the group must ensure all participants check-in and receive an Eagles hand stamp at the RAWC Welcome Desk prior to entering.
  • Please note that photography/videography at the RAWC must be approved at least 72 hours before your event. If approved by the department, the group must ask all participants to complete the RAWC media release form. Otherwise, photos and videos are not allowed in all areas of the RAWC to provide a safe-space for all. 

If the club/group does not meet these criteria for the duration of their booking request, then the club/group will be subject to a rental fee, as disclosed on the DRAW External Rentals webpage.
