Student Groups have the opportunity to get student leader positions recognized on an official institutional document, the Co-Curricular Record (CCR). Having your group CCR approved will help you:
- with the advertisement and promotion of your group
- get recognized for your involvement and skill development on an official university transcript that can be used in interviews and applications
- assist in the transition between the current executive team and incoming executive team
- receive the support of a UTM staff member and/or faculty member
Timeline of Getting CCR-Approved
| May 1st - rolling applications | Apply to get SOP-recognized! For more information, please refer to the SOP Recognition Process. |
| August - November | Once SOP-recognized, the CCR Team will email you to invite you for a meeting or confirm some information. You will be receiving different emails based on your CCR status from last year. More information is outlined in the Roadmap to CCR section below. |
| October - December | Meet with your validator for the first time and complete the Validator Meeting Form. Have each member start working on the Individual Tracking Sheets. |
| November 21st | Deadline to meet with the CCR team to apply for CCR and to find a validator. |
| February | We suggest student organizations to meet with your validator a second time as a check in. This is optional. |
| March - April | Meet with your validator for the final meeting by April 6th 2026, and complete these steps to receive a notation on your CCR:

| April - May | Your validator will review and ensure they approve of the information in your Excel file. Validators will then submit the finalized Excel file to the UTM CCR Team using the Microsoft Form link we have provided them with. The UTM CCR team will ensure the notation appears on each member’s CCR on Folio. All validators have been asked to upload the Excel file by April 10th, 2026. |
Roadmap to CCR
1. Get SOP-Recognized
More information on how to receive SOP recognition can be found in the SOP-Recognition Process.
2. Work with the CCR Team
The student organization will be contacted via the email provided for the SOP Recognition. The content of the email will depend on their CCR status from the past year:
- If the student organization has received CCR in the past year, the email will ask to confirm their validator, positions, and Folio CCR page content information. If there are changes to these or they want to make a change, the student organization is required to send the updates to the CCR team, who will guide them through the process. When all is confirmed, the CCR status of the student group is updated, and the Folio CCR page will be activated.
- If the student organization has not received CCR in the past year, the email will invite them to have a meeting with the CCR Team to discuss the process, gather the necessary information, and create a Folio CCR Page specific to their student organization.
3. Find a Validator and Get Your Folio Page!
Student organizations that do not have a validator have until November 21st to find one and inform the CCR Team. Failure to do so will result in the discontinuity of their CCR application. Student Organizations can get in touch with the CCR Team to receive support for finding a validator. Student Organizations whose validator, positions, and Folio CCR page content have been confirmed by the CCR Team will receive an email with a link to their published Folio Activity page.
4. Validator Meeting No.1
The goal of this first meeting is to outline the student organization’s timeline for the year, their major goals, and how they will measure these goals. After this meeting, the Validator Meeting Form is required to be completed and submitted to the validator. The first meeting must be completed latest December 20th.
5. Validator Meeting No.2
This is a recommended optional meeting, the goal of which is to serve as a mid-year check-in. The student organization can reflect on their progress and goals.
6. Validator Meeting No.3 & Getting a notation on your CCR
The goal of the final meeting with your validator is to reflect on the year and review who is seeking a CCR notation for their involvement in the group. The final meeting must be completed latest April 6th.
Here are the steps that must occur for members of your group to receive CCR notations for their involvement:
- Individual Tracking Sheets: Every member seeking a CCR notation must complete the Individual Tracking Sheet and submit to your validator by March 30th, 2026.
- Group Excel File: As a student group, complete the UTM CCR Student Group Validation Form together. This one file serves as the master document of who is requesting a CCR notation for their involvement. Submit the Excel file to your validator by March 30th, 2026.
We strongly suggest you provide your validator with all of these documents before your final meeting with them.
7. Validator Submits Excel file to UTM CCR Team
Your validator will review and ensure they approve of the information in your Excel file. Your validator will then submit the finalized Excel file to the UTM CCR Team using the Microsoft Form link we have provided them with. All validators have been asked to upload the Excel file by April 10th, 2026. The UTM CCR Team will then ensure the notation appears on each member’s CCR.
8. Individual CCR Updated
The UTM CCR Team will review all Excel files submitted by validators and ensure all notations appear on member’s CCRs.
