CCR Recognition for Student Groups

Student Group Recognition

Get your student group position recognized on an official institutional document, the Co-Curricular Record (CCR)! All UTM SOP-Recognized student groups are CCR-Recognized. Any student group seeking CCR notations for their executive/members, need to follow the steps outlined in our Required Actions below.

Update as of June 2026: Student groups are no longer required to have a Staff/Faculty validator to receive CCR notations. By default, the UTM CCR Team now supports all UTM SOP-recognized student groups with all documentation required for a CCR notation. If your group would like a staff or faculty member to serve as validator, your group is responsible for arranging that relationship and informing the UTM CCR Team by November 23, 2026 at ccr.utm@utoronto.ca of who the staff/faculty validator is.

Required Actions:

May 1st - rolling applications

Ensure your group has SOP recognition! For more information, please refer to the SOP Recognition Process.

Once SOP-recognized, the UTM CCR Team will email you confirming that your members can receive a CCR notation. We will provide you with a link to the unique CCR page we have created for your group on the CCR database under Student Groups & Programs.

If you have SOP and have not heard from us by November 1st, please email us at ccr.utm@utoronto.ca.

September– November

Student group members are encouraged to complete this optional resource: Preparing for the year to make the most of their experience.

*If your group elects to have a staff/faculty validator, have a meeting with them by November 27th, 2026 in which you provide a completed Validator Meeting Form.

November 23rd

Up until November 23rd, student groups can customize the CCR notations that group members receive.

This is also the deadline to customize your student group's CCR page that we - the UTM CCR Team - create on the CCR database for each student group.

All edits are to be communicated via ccr.utm@utoronto.ca or by having meeting with our team. Here is our booking link: UTM Co-Curricular Record Support.

March-April

Every student group member seeking a CCR notation must complete the CCR Reflection Form by March 30th, 2027 (link to be provided).

In addition, as a student group, complete the UTM CCR Student Group Validation Form ONCE together and upload to 2026-2027 Student Group Validation Form by March 20th, 2027 (link to be provided Winter 2027). This one file serves as the master document of who is requesting a CCR notation for their involvement.

We strongly encourage all members to complete our optional Transition Report so that you can pass on the wisdom/lessons learned from this year to your incoming executive team next year.

*if your group has a staff/faculty validator, you must meet with your validator for a final meeting by March 30th 2026, and provide them with all of your documentation: 1) each member's completed CCR reflection and 2) your group's UTM CCR Student Group Validation Form. It is the responsibility of your validator to review the documentation and submit it to the UTM CCR Team by April 10th, 2026.

April-MayThe UTM CCR Team will review all documentation and ensure the notation appears on each member’s CCR on Folio. If the student group members do not see a CCR notation for their experience by the end of summer, please complete the Missing CCR Form (link coming soon).

Get your events and activities recognized!

Does your student group run activities such as workshops, training sessions, competitions, conferences or mentorship programs? Participants of these activities can receive a CCR notation if the activity offers:

  • Skill Development - see our CCR Skills Framework for the list of skills recognized on the CCR
  • Reflection - participants of the program/event/opportunity reflect on the experience and its impact on their growth and development. This can be done in a myriad of ways (ex. regularly throughout the experience, a final reflection meeting, an exit interview, an online survey).
  • Training - the participant of a program/opportunity receives training that sets them up for success in the role. This is not always a requirement, as it depends on the opportunity.

To get your activity CCR-Recognized, contact us at ccr.utm@utoronto.ca with the details of your activity at least one month in advance. You can book a meeting with us through our booking page here: UTM Co-Curricular Record Support. We can help you 1) identify skills students can develop from your activity and 2) develop effective reflection.
