Check-Out Process
An express check-out consists of the Resident checking out of residence 24 hours after your last exam or by deadlines listed below. Your specific check-out deadline is emailed to you in March.
Check-Out Envelope - you will need it to hand in your residence & mailbox key. Pickup at the Residence Services Desk.
Undergraduate Housing check out deadline: 24 hours after your last exam or by Friday, April 24, 2026 at 12:00PM (noon) [whichever comes first].
Graduate Housing check out deadline: 24 hours after your last exam or by Friday, April 24, 2026 at 12:00PM (noon) [whichever comes first].
Medical Housing check out deadline: June 1, 2026 at 12:00PM (noon)
If you have been granted First Half or Full Summer Housing, you are not required to complete an Extension Request. More information about transferring to your summer unit will be sent to you via email.
Application opens: March 16, 2026 at 12:00 PM (noon)
Application deadline: March 31, 2026 at 11:59 PM
Application closes: April 19, 2026 at 11:59 PM
Please Note: If you are granted Summer Housing you will not be required to leave. More information about transferring/staying in your summer unit will be sent to you via email closer to date.

Important Details
- For extensions past April 24, 2026
- There is a $150 charge associated with the approved applications submitted before the deadline (March 31, 2026), which will be uploaded to your ACORN account.
- There is a $250 charge associated with approved applications submitted between the deadline, March 31, 2026, and April 19 at 11:59 PM, which will be uploaded to your ACORN account.
- Any applications submitted after April 19, 2026, at 11:59 PM, will be denied.
- Requests for any date past May 1, 2026, at 12:00 (noon) will be denied.
Here are some steps to ensure you have a smooth checkout!
- Pick up your check-out envelope at the Residence Services Desk or in laundry rooms
- Know your check out date and time and confirm your travel arrangements in advance

- Prepare for cleaning inspections. See tips on how to clean below.
- Ensure all waste is removed from the unit. See garbage and recycling disposal below.
- See how you can be sustainable with tips featured on this site.
- Check out of residence
- Take photos and complete a final check of all areas.
- Lock your bedroom door and unit door.
- Place your unit key in a check-out envelope. If you live in McLuhan (MC)/MaGrath (MV)/Leacock (LL), please place your bedroom hard key inside as well. Fill out the envelope and submit it to the Residence Services Desk.
Prior to Cleaning
- Engage in conversations with your roommates about cleanliness expectations!
- Submit Work Orders as needed. Learn about garbage and recycling disposal below
- Be aware of possible check out charges (see drop down below)
How to clean
Ensure you clean all required spaces for your unit: Click each text to view a video on how to clean!
Don't Forget to . . . .
- Remove all personal items & garbage
- Wipe down all surfaces with a general all-purpose cleaner
- See discolouration from build-up (i.e. on the stove, toilet sink etc.)? Use a job-specific cleaner, not an all-purpose
- Sweep, vacuum and mop ALL floors
- Take photos before you leave! If you are concerned about cleaning charges, take photos & document concerns that can be submitted if needed for an appeal
- Use recycling to dispose of appropriate material!

- When recycling boxes always remember to flatten the box before placing it in the recycling bin.
- Use large outdoor garbage and recycling bins located in your area
- Do not leave bags on the ground outside the bin
- Additional garbage bins will be placed behind around residence during check out season
Cleaning Tips
- Please leave your drawers and cupboards open
- Leave your washroom doors open so the air circulates
- Lift your mattress and lean it against the wall
- Please remove your garbage from your unit, common/shared spaces
- Wipe down all surfaces in your unit

Maintenance Tips
- Is your faucet/shower head dripping constantly? Work order it!
- Is your keycard swipe flashing orange? Work order it!
- Is your toilet constantly running? Work order it!
- Is your bathroom fan noisy/not working? Work order it!
- Is your sink leaking? Work order it!

What is Garbage vs Recycling
Use recycling to dispose of appropriate material!

- When recycling boxes always remember to flatten the box before placing it in the recycling bin.
Items such as food products, coffee cups, straws, and dryer sheets can not be recycled and must be thrown out in the garbage bins.

Below are a list of damage and cleaning charges that could arise during the school year or upon move-out inspection. There are other potential charges outside of the list below that could arise from the inspection of your unit. Please note all bedroom charges will be specific to the resident of the room, all common area charges will be divided up amongst all residents of the unit.
Check-out charges will be posted to your ACORN/ROSI account and you will receive an email detailing the charges by mid-June.
