The UTM Campus Project Management Office has created a Project Management methodology as a guide to project delivery. As our office matures, so too will our methodology; we expect to make updates and improvements over time.

Our methodology comprises practical elements that work together to support your delivery of successful projects. These elements are:

  • project classification,
  • project management life cycle (or project phases), and
  • tools & templates.

Understanding these elements is the first step to embarking on your project management journey.

Please review the below expandable sections below for a high-level overview of each project phase. Additionally, we have provided more details in the Calls to Action in the right-hand menu. Note: Project Documentation varies depending on Project Classification. See Project Classification for more details. 

Activities

  • Justify need for project​

  • Define project goals, including high-level timelines and deliverables​

  • Identify stakeholders​

  • Determine what level of PMO service is needed/ desired (prior to Project Charter development)

  • Business Case & Alternatives Analysis​

  • Project Charter

Gates

  • Project Sponsor signs Project Charter

Activities

  • Thorough planning of all project work at a detailed level​

  • All documentation combined creates Project Plan​

Documents

  • Project Schedule (includes Work Breakdown Structure)​

  • Communication Plan​

  • Budget (if applicable)​

  • RACI Chart​

  • Stakeholder Analysis

Gates

  • Project Sponsor provides verbal approval of plans

Activities

  • Delivery of project plans​

  • Monitoring to ensure project stays within scope, on time, and on budget​

  • Management of issues and change requests

Documents

  • Status Update Reports​

  • Issues/Changes & Decision Log​

  • Updates to Project Plan documents

Gates

  • Project Sponsor and Owner are kept informed through regular Status Update communications and provide decisions for issue management. 

Activities

  • Ensure all deliverables meet acceptance criteria & are transferred to Operations staff​

  • Discuss, review & document Lessons Learned​

  • Celebrate project success​

  • Archive project files​

  • Release Project Team from further work

  • Project Closing Report

  • Thank You messages to Project Team members (recommend email or card)
