Keeping email privacy top of mind

As we move through this hectic end-of-year period, you're likely juggling a high volume of tasks, deadlines and communications. With so much happening at once, it's understandable that mistakes can happen — like sending an email to the wrong recipient or attaching an unsecured file containing personal and confidential information.

If you catch a mistake, don’t be too hard on yourself. Flag it quickly, correct what you can by recalling the email and reach out to your supervisor, your Freedom of Information Liaison and the Privacy Office as soon as possible. We're all human, and we're all doing our best during an especially demanding time.

Pause and review quick tips

  • Verify the recipient list before pressing send, especially if you're using autocomplete.
  • Ensure personal and confidential information is sent securely (encrypted or via SharePoint).
  • If you realize that you’ve sent an email to the wrong person, use the recall function in Outlook.

Before you send, take a sec — protect our privacy, double-check.
