Important Additional Information
Important Additional Information:
Police Check with Vulnerable Sector:
If working with children, the elderly or in the special needs sector for your placement you may be required to provide the organization/placement site with a Vulnerable Sector Check (VSC) or Police Background Check PRIOR to beginning work at the site. Depending on where you reside you will need to contact the regional or local police station to obtain the police check.
NOTE: VSCs can take some time to prepare and obtain so be sure to leave yourself with enough time PRIOR to beginning work at the site.
Select the region or city you live in for more information:

Contact John Smith at UTM if you live in the City of Toronto to set up an appointment to begin your police check process.
Ethics Review:
Students, depending on the nature of their project or experience, need to read and apply the rules regarding the Ethics Review for their placement work.
Confidentiality :
Security and confidentiality is a matter of concern for all academic interns from UTM and any other persons who have access to information, data systems or physical facilities. Each person working at the placement site holds a position of trust relative to this information.
Safety:
- Students doing lab placements or placements involving hazardous materials must complete a WHMIS course - each department has course offerings and varying schedules.
- Students who are in a field environment (even rarely) - in the outdoors, in a variety of settings (including urban) - along with the Course Faculty Coordinator, need to have read and be aware of UofT's policy on Safety in the Field.
- Safety Abroad: Students doing internship course placements outside of Canada are required to review the information on the UofT Safety Abroad website and consult with staff regarding travel safety, immunizations, etc. individually or in special sessions.
Immunizations:
Some internship courses require proof of certain immunizations and TB tests for all students in the course. There are some courses where this is required depending on where a student is placed - i.e. school or hospital. Policies vary by course, as well as by independent organizational requirements. The two-step TB test requires that students make two appointments, two weeks apart with their doctor. You will be notified and instructed if these tests and immunizations are required.
Outside Organizational Forms and Policies:
Each organization in the community may have forms and policies relating to confidentiality, medical records and immunizations, along with their own security check, safety and WHMIS training, etc. Students must fulfill separate requirements at these organizations.
Research Project Proposal/Experience Summary/Job Description
In some courses, students are required to submit a research project proposal, Experience Summary, or job description early on as part of their course mark. In some courses, prospective employers are required to submit a paragraph or letter describing what type of experience they are offering the student, and what background and skills they hope the student already has to offer them. Organizations may want to include projected outcomes and learning opportunities for the student.
Policies and Guidelines:
- Ontario Workplace Safety and Insurance Act
- Workplace Safety and Insurance Board (WSIB)
- Ministry of Advanced Education and Skills Development (MAESD) Guidelines for Workplace Insurance for Postsecondary Students
- Ontario Ministry of Labour – Unpaid Internships
NOTE: Exceptions to college and university programs. The Employment Standards Act (ESA) does not apply to an individual who performs work under a program approved by a college of applied arts and technology or a university. This exception exists to encourage employers to provide students enrolled in a college or university program with practical training to complement their classroom learning.
