Info for Students & Faculty with Presentations

ATTENTION STUDENTS & FACULTY PARTICIPATING IN THE ANNUAL ROP FAIR

DATE: Monday February 27th, 2012
LOCATION: Student Center – Great Hall/Presentation Room
TIME: 12:00 noon – 2:00pm

PARTICIPANT SET-UP TIME: *11:00am. *If you would like to set-up prior to this time please write to ROP Coordinator Melissa Berger at melissa.berger@utoronto.ca to request early set-up.

HOW TO REGISTER FOR THE FAIR: Complete the online ROP Fair application form on the ROPAPP.  The application period begins on January 24th until February 3rd inclusive.  ONLY registered students may participate in the event.


INFORMATION ABOUT THE PRESENTATION TYPES:

A. POSTER PRESENTATION:
For poster-based presentations please submit your artwork to the following web address:

Instructions on how to submit your artwork:

  1. Fill in your name and email in "Information about the Sender"
  2. Fill in the recipient's name and email in "Information about the Recipient" - The recipient's name is: Alison Dias and email: alison.dias@utoronto.ca
  3. "Browse" for the file and attach (maximum file size is 100mb)
  4. You can add information about the file under "Description" or you can simply send Alison a separate email about the file itself.
  5. Click "Drop off File(s)" and send file

NOTE:

  • Acceptable Files Include: PowerPoint, PDF, JPG & TIFF

Poster Sizes Include:

  • 24”x36” (61cmx91.5cm)
  • 30”x36” (76cmx91.5cm)
  • 36”x42” (91.5cmx106.5cm)

*All posters are printed on matt finish acid free paper.  For additional information on preparing your poster click here.

The DEADLINE to submit your artwork to Alison for production is Monday February 20, 2012.  See below for additional information.  There will be free-standing poster-boards or wall-space provided at the event for you to hang your poster.  If you require a table to display a panelled poster be sure to indicate this on the application form, or contact ROP Coordinator Melissa Berger to arrange for a table.

B. LAPTOP:
Due to the limited availability of laptop computers students are asked to provide their own laptop equipment.  This will not be provided to you.  If this option is selected a table will be supplied at the event.

C. MODEL DISPLAY:
Be sure to indicate if a working model will be used of it access to electricity is required.  A table will be supplied unless otherwise indicated.

D. OTHER:
It is essential that you specify what type of presentation will be shown, as well if access to electricity, table, chair(s), etc is required.



IMPORTANT ROP FAIR INFORMATION:

1. Ensure that the completed Fair Application Form is completed online through the ROPAPP NO later than February 3rd, 2012.  This is to allow sufficient preparation time for the event.  NOTE: A hardcopy form is available if needed, please contact ROP Coordinator Melissa Berger to obtain a copy.

1a. If you are not able to complete the ROP Fair application form by the deadline (Feb. 3rd, 2012) or at all, a space at the Fair for your project cannot be guaranteed.  As well, failure to complete the form in time may result in your project not being able to be mentioned in the ROP Fair bulletin provided on the day of the event.

2. Laptop computers will not be provided if this option has been selected.  It is the responsibility of the participant to provide their own laptop and necessary equipment (i.e. power cable).  This is due to the limited availability of laptop equipment and therefore cannot ensure that all participants will have access to this equipment.

2a. In order to keep track of participants who have indicated use of a laptop computer it is essential that this presentation type has been indicated or that the ROP Coordinator Melissa Berger is kept informed.  As mentioned, a table will be provided to participants who have indicated this option; as well, additional power surge protectors and power bars will be available on site.

3. ROP Coordinator Melissa Berger will do her best to make this experience an enjoyable one for all those participating as well as for the visitors to the event.  Please do not hesitate to contact her if you have any questions or concerns as melissa.berger@utoronto.ca



FOR POSTER-BASED PRESENTATIONS:

You will not be required to cover the expenses associated with the printing of your poster! The Office of the Dean will be picking up the tab. Please remember, there's a limit, so let's work within it!

Be sure to submit your artwork to the web address listed above in order to have your poster printed in time for the Fair.  For any questions about the poster itself please contact Alison Dias.

Please be sure to have your poster ideas into Alison well in advance of the Fair date.  The absolute last date that your poster idea can be submitted to Alison for printing is Monday, February 20th 2012
