Booking Alcohol Service for your Event

Information You Need to Provide

When booking an Alcohol Event with Conference and Events Services, all of the information you will be asked to provide is as follows:

If you are booking an event for one of our Licensed Areas, please book your event a minimum of 7 business days in advance to ensure that the proper staffing and product levels, including any special product orders, can be provided.  If the event space you are requesting is already booked, then our Conference and Event Services team will do their best to find a suitable alternative.


Types of Alcohol Events

There are 3 main types of alcohol service offered by the UTM:

CASH BAR SERVICE

  • A bar is set up at the event location
  • Guests at the event pay for their drinks individually at the bar (cash only) or through the purchase of drink tickets at a ticket table at the event (tickets exchanged for drinks at the bar)
  • If cash sales do not cover the bar expenses, an invoice will be generated to the host to cover all bar related costs including labour​

HOST BAR SERVICE

  • A bar is set up at the event location
  • Guests at the event are served drinks from the bar upon request or through the use of complimentary tickets handed out by the event organizer
  • The number and type of drinks served by the bar is tabulated at the end of the event; an alcohol invoice is prepared based on this tally and is sent to the Event Organizer

WINE SERVICE

  • A predetermined wine or selection of wines is arranged based on the requests of the event organizer
  • If wine is to be passed (i.e. at a reception), then wine is pre-poured into glasses, circulated by servers throughout the event on trays, and served to guests
  • If wine is to be served at a table (i.e. at a dinner), then servers offer wine to each guest and pour the wine at the table
  • The number of wine bottles opened to serve the guests is tabulated at the end of the event; an alcohol invoice is prepared based on this tally and is sent to the Event Organizer

COMBINATION

  • A combination of two or all three types of service can also be arranged for an alcohol event

PLEASE NOTE: For any alcohol event on campus, an adequate supply of food and non-alcoholic beverages must be available to persons attending the event; snacks, such as chips, peanuts or popcorn are not acceptable substitutes for the food supplied at the event.
