Report of the MEETING OF THE COMPUTING COMMITTEE of Erindale College Council held on Wednesday, October 25, 2006 at 3:10 p.m. in the Ante Room, Room 3129, South Building.

1. The report of the previous meeting was approved (September 27, 2006).

2. Reports from Committees / Officers:

a) Report from the Chief Administrative Officer on the Academy of Medicine – Ray deSouza

Mr. deSouza reported that the first U of T Mississauga’s new medical academy will take in 32 students in the fall of 2007. The required building and associated facilities will be using a significant portion of the vacated library. The space will also include a second story build-out between the Kaneff Centre and the South building; he noted that this addition would preserve the green space and walkway in that area.

The facilities located in this space would include: academic and non-academic administrative offices, medical sciences undergraduate laboratories, patient based learning rooms – mock doctors’ offices, a student lounge and group study areas. Technical facilities would include the following: server room, storage room for hardware/equipment, media and software, workshop for minor IT configuration, telephone closet, data closet, electrical distribution closet and audio visual equipment transfer station.

To respond to academic requirements, significant infrastructure will be housed in the basement of the South Building in order to consolidate the equipment in one area.

The Chair opened the floor to questions.

In response to a member’s question, Mr. deSouza explained that all computing services will eventually move down to the basement of the South Building, which has provided the campus with an opportunity to create a centralized space. He added that this location would also make sense because other computer labs are already located there.

Also in response to a member’s question about whether classes would be going on simultaneously, Mr. deSouza answered in the affirmative and explained that the 32 students would be split into groups of six, who would then stay together for an entire session. Students would come to U of T Mississauga for their orientation, do their anatomy downtown and then come back to U of T Mississauga to do their patient based sessions, followed by medical science also at a classroom on campus. He added that some of their lectures may be delivered by downtown faculty via videoconferencing. He noted that U of T Mississauga has invested heavily in information technology to enable to regular use of videoconferencing.

A member noted that currently during weekly Chemistry seminars, the existing videoconferencing system fails the majority of the time, which has been attributed to a St. George problem. The Chief Administrative Officer assured members that this would be remedied for the medical academy. He added that the information technology support installed for the medical academy would be available for general U of T Mississauga use when not in use by that program.

With respect to a concern regarding network problems experienced by graduate students in residence, the Chief Administrative Officer noted that the entire double infrastructure, including high speed service has been considered and will be planned for.

3. New Business

a) Update from the webmaster – Jenny Hu

Ms. Hu reported on the 10 web sites that received the most visits as follows, with the highest number of hits listed last: course offerings in the department of psychology; U of T Mississauga timetable; library student portal; listing of academic departments and programs; current students homepage; U of T Mississauga calendar; Office of the Registrar timetable; Office of the Registrar’s home page; U of T Mississauga library homepage; and the U of T Mississauga home page. Regarding ‘typo3’, the university’s web content management system, current usage data consisted of 64 web sites covering 3662 pages, and more than 150 users.

b) Classroom Technology Standards – Anil Vyas

Mr. Anil Vyas reported on the recommendations of the Classroom Technology Standing Committee, which discussed the minimum technology required for all U of T classrooms by 2010. The Committee will develop consistent specifications for all electronic equipment associated with classroom technology and standardized designs for new U of T teaching stations with simpler consoles and controls with standardized peripheral specifications. A prototype station will be available for viewing from November 13 until November 17 in room 2047 of the South Building.

c) New Organizational Structure in Computing Services - Joe Lim

Mr. Lim reported on the new organizational structure of U of T Mississauga Computing Services. He explained that since 2005, there have been ongoing discussions on an organizational structure that would meet the demands of a growing campus population as well as U of T Mississauga’s links with the St. George campus and the proposed Academy of Medicine. In August 2006 the campus adopted a new structure and created three new administrative areas with Mr. Joe Lim, the Chief Information Officer at the helm: Client Services headed by Rishi Arora, Computing Services headed by Kevin Lee and Web Technology Services, headed by Andrew Wang. Client Services manages the help desk, desktop support services and student computer labs. Computing Services oversees network and server support, security management and storage and backup. Web Technology Services manages web application development, content management and the LMS and portal. He noted that the new structure will enable the areas to provide better service and to cope with the growth of the campus.

The organizational chart is attached hereto as Appendix A.

The next meeting of the Committee will be on Wednesday, November 29, 2006. The Committee adjourned at 4:30 p.m.
